Ask about spare parts in a product RFQ

A product may be inexpensive to buy but hard to maintain if a small replaceable component is unavailable. Spare parts belong in the RFQ when service life or field repair matters. The request should separate the initial product quantity from the parts you may buy later.

Define the requirement

List the components likely to wear, break or require routine replacement. If you already know part numbers, include their revisions. Ask whether the design allows replacement without special tools and which parts are proprietary to one supplier.

Questions to send with the RFQ

Request a separate price and lead time for each spare, plus availability assumptions and ordering units. Do not treat a general promise that “parts are available” as a commitment to a specific item. Ask how changes to the main product affect spare compatibility.

Review the answer

Compare total supportability as well as first-order price. If one supplier includes a spare kit and another does not, record the difference. A part only useful for the current revision should be labelled so future teams can order correctly.

An example to adapt

For a hypothetical countertop dispenser, a replaceable nozzle may determine downtime more than the housing price. Request the nozzle as an identified spare and verify that its fitting matches the exact dispenser model being quoted.

Decision before sending

Decide whether spares are needed for the initial order, for future support, or only as information. These are different buying decisions. A spare kit included with every unit changes the product price; a later-order option changes support planning. Ask the supplier to identify parts in a way your service team can order again without a photo search. A clear parts list also helps the buyer spot a design where a small failure forces replacement of the whole product.

The FAR market-acceptance provision recognizes product support as a possible part of minimum need. If continued operation depends on spares, identify part numbers, expected life and reorder units in the RFQ instead of treating “spares available” as a complete offer.
