Prepare an RFQ for a multi-part custom kit

A kit combines several components into one deliverable. If the bill of materials is incomplete, suppliers may price different assemblies under the same kit name. Put component count, assembly and packing in the RFQ so the quote maps to the finished item.

Define the requirement

List every component with quantity per kit, revision, material or approved source where needed. Describe assembly, inspection and how missing items will be detected. State whether spares, manuals and packaging are included or separate.

Questions to send with the RFQ

Ask for a bill-of-materials confirmation, prototype kit, unit price and setup charges. Request clarification on who supplies purchased components and whether substitutions need buyer approval. If the supplier buys parts, ask how lead time depends on those sources.

Review the answer

Compare complete kit cost, not only the most expensive component. A supplier who omits assembly labour, manual printing or final inspection may appear cheaper. Inspect a packed sample against the bill of materials before treating the quote as final.

An example to adapt

For a hypothetical installation kit, one fastener bag might be absent from an otherwise complete carton. Naming each item and its count gives packing and receiving teams a concrete way to catch that error.

Decision before sending

Test the kit as the customer will receive it. Open a packed sample, count components and follow the instructions without relying on the supplier's explanation. Record what is missing, ambiguous or difficult to use. If components come from several makers, ask who controls the final bill of materials and substitutions. A complete kit is a system: the cheapest set of individual parts does not necessarily create a usable delivered package.
