Specify compatibility in a product RFQ

“Compatible with our system” transfers an undefined integration problem to the supplier. A better request lists the actual interface, mating product or workflow and the acceptance test that will demonstrate compatibility. This is especially important when a product must fit equipment already in use.

Define the requirement

Record model identifiers, physical dimensions, connector details, operating conditions and the version of any software or drawing that matters. Share only information you are allowed to disclose. If the full interface is unavailable, explain what the supplier may test now and what remains a condition for approval.

Questions to send with the RFQ

Ask the supplier which assumptions it has made about the existing system and what evidence it can provide. Request a sample or fit check before committing to a larger order when failure would be costly. If an adapter is required, ask whether it is included.

Review the answer

Compare the exact interface covered by each quote. One supplier may include an adapter or modification while another prices only the base product. Treat any unresolved compatibility claim as a risk requiring a test, not as proof that the item will work.

An example to adapt

For a hypothetical replacement filter, name the housing model, seal interface and expected operating conditions. A supplier's “universal” label is not enough if the gasket geometry differs from the installed unit.

Decision before sending

The acceptance decision needs a named test environment. “Fits Model X” is still incomplete if Model X has several revisions or accessories. Identify the unit you will test, the person authorised to judge fit, and the result that counts as a pass. If the supplier cannot access the full system, arrange a sample trial with your equipment before a larger order. The RFQ should make the test a condition of approval, not an informal promise to check later.
